DARENTH TABLE TENNIS CLUB
CONSTITUTION AMENDED 22nd JANUARY 2018
1.1 The Club shall be called Darenth Table Tennis Club, hereafter to be referred to as “the Club” and shall be affiliated, through membership of local leagues, to Table Tennis England and the Kent County Table Tennis Association.
2.1 The aim of the Club is to provide facilities for Members to practice in a friendly environment and to participate in competitive table tennis at local league level and beyond.
3.1 Membership of the Club is by invitation only and is subject to the completion of a satisfactory probationary period of six weeks. The minimum age limit is 11.
4.1 An annual Club Subscription shall be payable by each Member to cover the period 1st September to the following 31st August. This shall be used towards the day-to-day running expenses of the Club.
4.2 A Member representing the Club in a local league shall be charged that league’s registration fee, and a pro rata contribution of the Club’s Kent County Table Tennis Association affiliation fees to that local league.
4.3 Each Member attending on a Club Night shall be charged a Club Night Fee. The total collected shall be used to cover the cost of refreshments and hiring the Hall, and any excess shall be used to help defray other expenses not covered by Club Subscriptions.
4.4 A Match Fee shall be payable for both home and away matches. These shall be used towards the cost of refreshments and balls, and hiring the Hall for matches.
5.0 EXPULSION OF MEMBERS
5.1 Members of the Club whose conduct is inappropriate or who fail to pay their appropriate fees within a reasonable time period may be expelled or suspended by the Executive Committee of the Club.
6.0 EXECUTIVE COMMITTEE
6.1 The Executive Committee of the Club, hereafter to be referred to as “the Committee”, shall consist of Chairman, Vice Chairman, Secretary, Treasurer and two other persons.
6.2 The Committee shall be elected at the Annual General Meeting of the Club, from, and by, the Members of the Club. Nominations for the Committee shall be notified to the Secretary of the Club to be received not later than seven days before the Annual General Meeting.
6.3 Committee members shall be elected for a period of one year, but may be re-elected to the same post or another post the following year.
6.4 The Committee shall have the power to co-opt a Member of the Club to fill any vacancy.
6.5 Decisions made by the Committee shall be by a simple majority of votes.
6.6 The duties of the Committee shall be to:
6.6.1 control and make decisions concerning the affairs of the Club on behalf of the Members
6.6.2 keep accurate accounts of the finances of the Club through the Treasurer
6.6.3 maintain a bank account, the Treasurer only being authorised to sign Club cheques
6.6.4 decide which local leagues to enter teams in and to select from Members the players to comprise those teams
7.0 ANNUAL GENERAL MEETING
7.1 There shall be an Annual General Meeting of the membership of the Club to be held by 31st October each year, and at least fourteen days’ notice thereof shall be given to Members of the Club.
7.2 Decisions made at the Annual General Meeting shall be by a simple majority of votes from the Members attending.
7.3 The business of the Annual General Meeting shall be to:
7.3.1 confirm the minutes of the previous Annual General Meeting
7.3.2 receive the annual report of the Committee from the Secretary
7.3.3 receive the accounts for the year from the Treasurer
7.3.4 elect the Committee
7.3.5 review the rates charged for Club Subscription, Club Night Fee and Match Fee and agree them for the forthcoming year
7.3.6 consider any other business, which should be notified to the Secretary of the Club to be received not later than seven days before the meeting
8.0 ALTERATIONS TO THE CONSTITUTION
8.1 Any proposed alteration to the Club’s Constitution may only be considered at an Annual General Meeting or a Special General Meeting convened for that purpose, and the proposed alteration shall be notified to the Secretary of the Club to be received not later than seven days before the meeting. Such alterations must be proposed and seconded by Members of the Club and shall be passed if supported by not less than two-thirds of the Members present at the meeting.
9.1 If the Committee decides that the Club should be dissolved, a Special General Meeting shall be held to discuss and vote on the resolution, at least fourteen days’ notice thereof shall be given to Members of the Club. If, at that Special General Meeting, the resolution is carried by at least two-thirds of the Members present, the Committee shall proceed to realise the assets of the Club and discharge all debts and liabilities of the Club.
9.2 Any remaining assets of the Club shall not be paid or distributed amongst the Members of the Club, but shall be given or transferred to some other non-profit making voluntary organisation having objects similar to those of the Club. The identity of the organisation shall be decided by the Committee.
