1. About this Policy

1.1 This policy explains when and why we collect personal information about our members, how we access and use it, and your rights in relation to it.

1.2 We may collect, use and store your personal data, as described in this Data Privacy Policy and as described when we collect data from you.

1.3 We reserve the right to amend this Data Privacy Policy from time to time without prior notice. We may be required to amend this Data Privacy Policy due to regulations. For any significant changes you will be notified.

1.4 We will endeavour to comply with the General Data Protection Regulation (GDPR) when dealing with your personal data. Further details on the GDPR can be found at the website for the Information Commissioner ( For the purposes of the GDPR, we will be the “controller” of all personal data we hold about you.

2. Who are we?

We are the Kettering and District Table Tennis League. We can be contacted via Officers of the League whose details are on the website or in the League Handbook issued to all playing members.

3. What information we collect and why:-

3.1 The League holds, or has access to, information on members registered to

the League for the purposes of playing competitive table tennis.

3.2 The information held, or available, is acquired by one of three routes:- a) by

access (for a limited number of League Officers) to personal details provided and

managed by the individual member when registering for Table Tennis England

(TTE) membership; b) through forms completed by Clubs at the start of each

season (or variously during the season in the case of additional registrations) for

registering teams to play in the League; or, c) in the case of League or Club officers

and Team Captains, additional contact information provided by the

member him/herself.

3.3 Individual Members should be aware that they are able to control the amount

of information the League can access from the TTE Membership list. Such

membership is a prerequisite of playing competitive table tennis within this

League. However, using the GDPR tab on their individual TTE Membership

record, each one of us is able to set the access level to one of three settings

-basic, contact only or full record. This League takes the view that it is the

responsibility of the individual player to manage this by setting the information

level to the one with which he/she is comfortable.

3.4 The ‘Basic’ level gives authorised officers of the League access to only a player’s

name, TTE membership number, gender, age group, whether membership is

renewed, together with details of other Leagues, Clubs and Teams to which he or

she is linked. From the 2018-9 season, the ‘Basic’ level is the default position for

all new TTE Members. This information is sufficient to manage our own website

for the inputting/recording of results through League Manager, and thus into the

local and national ranking module. Without this we would be unable to

satisfactorily manage the League.

3.5 Contact details are required from League and Club Officers and Team

Captains for the purposes of administering the League and disseminating

information, in order for the League to carry out its legitimate operations. This

information is accessible to members and others through the League Handbook

and our website.

3.6 Additionally entrants to our Annual Tournament, or other such events if run,

are required to provide a date of birth for the purposes of managing age

restricted events. This information is available to the Tournament Organisers

4. Reasons for holding information.

The information held on you is for the sole purpose of running the Kettering and

District Table Tennis League, under the auspices of our National Governing Body,

Table Tennis England. The latter has its own Privacy Policy accessible on its own

5. How we protect your personal data.

5.1 At no time do we pass on or share information we hold with other parties, except as described in paragraph 3.5 above. Were it to become necessary we would seek additional consent before doing so.

5.2 We will hold your personal data on our systems for as long as you are a member of the League and for as long afterwards as it is in the Leagues’ legitimate interest to do so or for as long as is necessary to comply with our legal obligations.

5.2 Information is of course reviewed annually as part of the registration process for each new season, and information on members not continuing to play in this League, or not wishing to remain Associate Members of TTE, is no longer actively kept. However, information on previous players remains accessible (to the same number of League Officers as in paragraph 3.2) in the ‘Recycled’ section of the TTE database, from where it can be easily accessed in the event of that player wishing to return to playing in this League. Personal contact information on Members that has been available in printed form in previous editions of the Handbook, obviously remains available.

6. Your rights.

6.1 You have rights under the GDPR to access your personal data, to be provided with information about how your personal data is processed, to have your personal data corrected or correct this yourself on the TTE Membership database, to have your personal data erased in certain circumstances and to object to or restrict how your personal data is processed.

6.2 You have the right to take any complaints about how we process your personal data to the Information Commissioner:- "" Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. Tel 0303 123 1113.

6.3 For more details, please address any questions, comments and requests regarding our data processing practices to the League via our Secretary.
